Privacy Policy

Icebear Agency (“we”, “us”) is a web design, hosting, and growth studio based in Vancouver, BC. This policy explains how we handle personal information when you use icebear.agency or contact us.

Information we collect

• Contact form details you submit on this site: name, email address, interest area, and message.
• Email details you send us directly (name, email address, message content, and any files you attach).
• Technical data that may be collected by our hosting provider in server logs (IP address, browser type, date/time, requested URL).
• Bot protection via Cloudflare Turnstile on the contact form (security check tokens; not used for advertising). We use Turnstile in invisible mode: verification runs silently without a visible widget on the page. Turnstile processing is subject to Cloudflare’s Turnstile Privacy Policy / privacy addendum in addition to this policy.
• We do not currently run third-party advertising pixels or analytics on this site. If that changes, we will update this page.

How we use information

• To respond to inquiries and provide quotes or services you request.
• To operate, secure, and improve the website and hosting infrastructure.
• To meet legal, accounting, or security obligations where required.

Sharing

We do not sell personal information. Contact form submissions are sent from our website (hosted on Cloudflare) to our inbox at hi@icebear.agency via our email delivery provider (Resend). Bot checks on the contact form are performed by Cloudflare Turnstile; related data is handled under Cloudflare’s Turnstile Privacy Policy. We may also share data with processors who help us run the business (for example email hosting and delivery), only as needed to deliver services, and under appropriate safeguards. We may disclose information if required by law.

Cloudflare Turnstile

To reduce automated spam on our contact form, we use Cloudflare Turnstile in invisible mode. No checkbox or challenge UI is shown under normal conditions. Cloudflare may process technical signals (such as IP address, browser characteristics, and interaction data) to decide whether a request is likely from a human. That processing is governed by Cloudflare’s Turnstile Privacy Policy / privacy addendum (https://www.cloudflare.com/en-gb/turnstile-privacy-policy/). We only use the verification token to accept or reject the form submission; we do not use Turnstile for advertising.

Retention

Inquiry emails and project records are kept only as long as needed for the business relationship and ordinary legal/accounting retention, then deleted or archived securely.

Your rights

Depending on your location (including under Canadian privacy law), you may request access to, correction of, or deletion of personal information we hold about you. Contact us at hi@icebear.agency.

International clients

We work with clients in Canada and worldwide. Information you send may be processed in Canada or in other countries where our service providers operate.
